When an organization is preparing for an audit against the requirements of ISO 9001:2015 that has the impact of changes in its strategic direction in its scope, the generation of the following evidence for internal issues should be considered:
Knowledge Management, problems here can be caused by insufficient documentation of processes leading to inefficiencies during staff turnover. This can impact performance as knowledge gaps are created. The HR department can introduce a structured knowledge management system.
The organizational culture is always an issue. Persons do not like the kind of change that does not jingle in their pockets. An example of such a change is when new processes are implemented. Employees tend to resist this. Corrective action can include establishing a change management program with employee engagement workshops.
Resource availability. Resources are scarce in many organizations and this can lead to limited skilled personnel in critical operational areas. One impact of this can be a bottleneck in production. HR can begin a recruitment drive and run staff upskilling programs.
Infrastructure is key. Aging equipment leads to frequent breakdowns. This leads to reduced efficiency and increased downtime. The Maintenance Manager can develop an equipment replacement plan and scheduled preventive maintenance.
Even before COVID, some organizations were financially unstable. This limited budget stunts the growth into new markets. This leads to a delay in growth plans. Upper management can address this by prioritizing investment projects and securing external funding. Plans of such activities can be submitted as evidence.
Information on the description of external issues, the potential impact and the relevant corrective action to be taken for six categories (political, economic, social, technological, legal and environmental) will be shared in a subsequent post.
